Job Summary: The Medical Records Technician will report to the Manager, Privacy and Risk Management and Vice President of Clinical Services and Patient safety. The Medical Records Technician facilitates the processing of medical group requests for protected health information/medical records by reviewing the requests, entering the requests into the designated release of information (ROI) system and acts as a liaison with medical group practice staff and RWJBH system ROI vendor on questions regarding the status of requests.Essential Functions:MRT handles all requests and inquiries for PHI received through medical group practices.MRT monitors/manages the RWJBH medical group medical records email for all ROI requests.MRT will be responsible for daily entry of required information related to the PHI request into the designated ROI system.MRT enters audits with multiple patient names per ROI system procedure. (Defined by procedure per 3rd party vendor).Requests for PHI related to Radiology films (RWJPE) will be processed by the MRT.Requests for patient billing records (RWJPE) will be processed by the MRT in collaboration with our billing department.Answers clerical telephone calls from practices and requestors pertaining to release of informationCopies, faxes and/or mails medical records in compliance with state and federal regulations.Billing Invoices for Radiology films and patient billing records (RWJPE Practices) will be processed by the MRT and logged in medical group designated tracking system.MRT will refer subpoenas, court orders, and other court related requests to medical group Privacy/Risk leadership for review.Work with practice managers, staff, other members of the medical group team and third party ROI vendor to promote a harmonious work environment.Participates in meetings with the systems medical record vendors to confirm the medical group needs are being met. Job Requirements: High School Diploma or GED required within one (1) year of hire. Candidates who do not possess a High School Diploma or GED equivalent at time of hire will be provided the opportunity to enroll in a GED/HSEA program as a condition of employment. New hires will be provided one (1) year from date of hire to successfully complete a GED program and obtain their HSEA. *Relevant experience and/or training, or equivalent combination of education and experience Ability to handle a high volume of workAbility to perform team-oriented job tasks.Conscientious awareness to detail and accuracy Strong customer service skillsExcellent communication skills (oral and written).Experience with an electronic medical recordAbility to learn, understand and apply federal and state regulations.Problem solving and critical thinking skillsPrevious experience in a medical office or health information management department preferredDemonstrates a clear understanding of the importance of patient privacy Able to operate Copier, Printer, Computer and Fax: Fixing paper jams, adding paperIndividual must be able to meet established physical requirements of the position including sitting at a desk or meeting table, standing or walking for an extended period of timeAble to work on a computer for a full work dayOffice environment, including corporate setting and medical office settingPotential exposure to hazardous material, infections, and communicable diseasesHours:8am-4pm or 9am-5pmOther Duties: Please note this job description is not designed to cover or contain a comprehensive listing of activities, duties or responsibilities that are required of the employee for this job.
